Sending contacts from your memberarea to HubSpot

Two ways into HubSpot: an automation step that creates or updates the contact, and a website form that syncs its own field mapping.

Once HubSpot is connected, the traffic runs in both directions. This article is about the way out: getting the people in your memberarea into HubSpot as contacts. Everything here matches people by email address, so an address that already exists in HubSpot is updated instead of duplicated.

From an automation

This is the path that works in every memberarea, and it reacts to anything an automation can react to: a purchase, a new member, a finished course, a tag.

  1. Open Automations and edit or create one.
  2. Add a step and pick HubSpot.
  3. Choose Create or Update Contact and select your HubSpot connection.

That is the whole step. The member becomes a contact, or an existing contact is updated.

To sort the contact into a list at the same time, add a second step:

  1. Add a step, pick HubSpot, then Add to List.
  2. Select the connection, then pick the list. The dropdown is loaded live from your HubSpot account, so you see your real static lists.
Note

Only static lists can be filled from outside. Active lists decide their own membership from their filters, which is why they are not offered here.

Tip

Put Create or Update Contact before Add to List in the same automation. The contact then certainly exists when the list step runs.

From a website form

If your memberarea includes the Websites module, every form can sync on its own, with its own field mapping, without an automation in between. The portal is connected once per workspace, not per form. If the panel still shows a Connect HubSpot button, connect the portal first before you go on.

  1. Open Websites, open the website and go to its Leads tab.
  2. Open the actions menu of any lead and choose Notifications, then pick the form from the list on the left.
  3. In the HubSpot sync section, tick Upsert every new lead as a HubSpot contact.
  4. Map the fields: on the left your form field, on the right the HubSpot contact property. The property list comes from your account, custom properties included.
  5. Send a test lead and look at the contact in HubSpot before you go live.
Important

The panel opens from the actions menu of a lead, so the form needs at least one lead before you can set the sync up. Submit the form once yourself, then come back and map the fields.

Tip

Map the email field first. It is the one that decides whether HubSpot updates an existing contact or creates a new one. Everything else is detail.

Both write through the same connection, so a lead that later becomes a member ends up on the same contact rather than a second one.

When something does not arrive

The connection panel in Settings, then Integrations shows whether the permissions for contacts and lists are actually granted. A contact that never appears is almost always a missing permission or a connection that needs reconnecting, both of which the panel names. The troubleshooting article walks through the rest.
