Most problems with the connection announce themselves in one of two places: the connection panel in Settings, then Integrations, or the history of the HubSpot workflow that ran the step. Below are the messages you are most likely to see.
The MemberArea steps do not appear in my workflow
The Automation permission was not granted. HubSpot includes Workflows from Professional upwards, and on a lower plan the permission cannot be given at all.
Open Settings, then Integrations, and expand HubSpot. If the panel shows "Workflow actions are off", reconnect from a HubSpot account that has Workflows. Everything else about the connection keeps working in the meantime.
"This HubSpot account is already connected"
The account belongs to a different memberarea workspace, and one HubSpot account can only belong to one. Disconnect it in that workspace first, then connect it again here.
If the other workspace is one of yours, the installation page offers to move the account instead and asks you to confirm, because moving it removes the app from the workspace it is leaving.
"This installation link is no longer valid"
The link that HubSpot sends you back with is good for 15 minutes. Open the installation link again, or connect from Settings, then Integrations. Nothing was half-connected in the meantime.
"This HubSpot account is not connected to a MemberArea workspace"
A workflow ran a MemberArea step, but the account behind it has no workspace attached, usually because the app was installed and the workspace was never picked, or because the connection was removed here afterwards. Connect the account again from Settings, then Integrations, and choose the workspace.
"This MemberArea workspace has reached the number of members its plan allows"
The step wanted to create a member and the plan is full. Upgrade the plan and run the workflow again, or re-enrol the contact.
"The course … is not published yet"
Access to a draft course is never handed out, not even through a workflow. Publish the course and run the step again.
"The group … is limited to N members and is full"
The group has a member limit and it is reached. Raise the limit in Audience, then Groups, or point the step at a different group.
"The group … is maintained by MemberArea"
The step points at the automatic "All members" group. Every member is in it already, so pick a real group instead.
"The selected course/product/group does not exist … any more"
The ID in the step points at something that was deleted, or it was copied from the wrong place. Open the item in your memberarea, copy the ID out of the address bar again and paste it into the step.
"The product … cannot be bought right now"
Create checkout link was pointed at a product that is inactive or has no active price. Activate the product and give it a price, then run the step again.
"The selected price does not belong to …"
The step names a price that belongs to another product, or one that was deactivated. Clear the price field to use the product's default price, or pick a price that really belongs to this product.
"This MemberArea workspace has no web address yet"
A checkout link needs a domain to live on. Give the workspace its web address in Settings, then try the step again.
"MemberArea could not create a member for …"
The address in the contact was rejected when the member was created. Almost always a malformed email address on the HubSpot contact. Correct it there and re-enrol the contact.
The access came back after I revoked it
It never went away. Access the member paid for survives a revoke: an unrefunded order for the product keeps its entitlements. Refund or cancel the order if the access really has to go.
"Reconnect required" in the connection panel
HubSpot no longer accepts the access we hold, usually because the app was removed on the HubSpot side or the permissions were changed. Press Connect again in Settings, then Integrations. Nothing that already synced is lost.
Checking a connection from your side
Open Settings, then Integrations, and click the HubSpot entry. The Connection health box inside it opens with a badge for the state the connection is in.
| Badge | What it means | What to do |
|---|---|---|
| Active | HubSpot answered and the access we hold is valid | Nothing |
| Reconnect required | HubSpot no longer accepts the access we hold | Connect the account again |
| Wrong portal | The access answers for a different HubSpot account than the one stored here | Reconnect, so this workspace points at its own account again |
| Not reachable | HubSpot did not answer the check at all | Try again in a moment, and reconnect if it keeps happening |
Under the badge the box names the connected account and its portal ID, then lists every permission the account granted. A note titled Permissions are missing appears when a required one is absent, and names each missing permission. The automation permission is the optional one. When that one is missing you get a note titled Workflow actions are off, and the MemberArea steps stay hidden in your HubSpot workflows.
The result is kept for 15 minutes, so the line at the bottom of the box usually reads "Last check" with a timestamp. Check again asks HubSpot straight away and the line then reads "Checked". Three fresh checks a minute are allowed. After that the box says "Checked a moment ago, showing the last result." and keeps the answer it already has.
A step that fails for a known reason writes that reason into the HubSpot workflow history and lets the workflow carry on, so a single contact without an email address does not hold up everyone behind them. An unexpected error is the exception: HubSpot gets an error back and retries the step shortly.
