Event registration and attendees

Set up replies, capacity, a waitlist and paid tickets, then check people in at the door and read their feedback afterwards.

In this article

Registration tells you who is coming before the event starts. It also keeps a full event from overbooking, moves people up from a waitlist when a seat frees up and gives you a list to check off at the door.

Open Events

If Events is off in your workspace, switch it on under Settings > Features.

Most settings in this article live in the edit sidebar of an event and need Update Events to change. Check-in has its own page in the three-dot menu of the event, and feedback has its own tab in the Events header.

How do members reply?

Members reply on the event itself. Under RSVP you choose which answers they get in Response options: Going, Maybe and Can't go. Going always stays available, the other two are optional.

Each member has one reply per event. Clicking the same answer again removes it, and members can switch answers while registration is open. In a recurring series, one reply covers the whole series.

Registration closes when the event is unpublished or cancelled, and when a one-time event is over.

How do you limit the number of seats?

Switch on Limit Capacity and enter the Maximum Number of Attendees. Only Going replies count against it; Maybe and Can't go never take a seat. Once the event is full, a member who tries to reply Going sees the Display Text you entered, or a standard message if you left it empty.

How do you close registration before the start?

Disable RSVP before Event stops new Going replies a set time before the start. In a recurring series, the deadline counts from each upcoming date. Pick the Time before Event in minutes, hours or days. Members who try to register afterwards see the Display Text you entered, or a standard message if you left it empty.

Existing replies stay. Members who already replied Going can still withdraw or switch to Maybe or Can't go after the deadline, and the waitlist moves up when their seat frees. Only switching to Going is closed.

How does the waitlist work?

Switch on Open a waitlist when sold out in the Waitlist section. Members can only join it once every seat is taken.

When a seat frees up, because someone switches away from Going or a ticket is cancelled, the next person in line moves up:

  • On a free event they become Going right away and get an email and a notification.
  • On a ticketed event they get an offer by email and have the Claim window for offered spots (minutes) to buy their ticket. If they miss it, the offer expires.

You can also move people up yourself: enter how many under Promote next and click Promote, or click Promote on a single entry. This only works while a seat is free. To take someone off, use Remove from waitlist. Each entry in the list shows its status: Waiting, Offered or Claimed. Removed entries and expired offers no longer appear in the list.

How do you sell tickets?

Turn on the switch in the header of the Tickets section to sell paid tickets, then add a tier with Add tier. A tier has a Tier name and a Price. Optional settings cover Limit capacity with Seats available, Min per order and Max per order, and Schedule sales window with Sales start and Sales end. Active controls whether the tier is on sale.

All tiers of one event use the same currency. Drag the tiers to change their order. While ticket sales are switched on and at least one tier is active, members need a ticket to be Going; a reply alone is not enough. Tickets are sold through your regular checkout.

The checkout flow

Cancelling the event stops ticket sales. A tier with sold tickets cannot be deleted. Switch off Active instead, so it stops selling and the tickets already sold stay valid.

To cancel a single ticket, find it in the list of sold tickets below the tiers, click the cancel icon next to it and confirm with Cancel ticket, or keep it with Keep ticket. The ticket becomes invalid. If the member holds no other valid ticket, their Going reply is removed and the waitlist moves up. The money is not refunded automatically: refund the order separately.

Refunds and credit notes

Who is on the attendee list?

The Attendees section lists every reply with filters for All, Going, Maybe and Can't go. Select several people to Check in or Undo check-in in one step.

Export downloads a CSV with name, email, reply, check-in status and check-in time, following the filter you set. In Tickets, Export ticket list downloads every ticket of the event with tier and ticket code, regardless of the filter.

How do you check people in?

Check-in opens a page made for the door. Search by name or email. In Scan mode, type a ticket code, name or email, or use a handheld scanner that reads the QR code from the ticket email. If the browser supports it, a camera button next to the field (Scan with the camera) reads the QR code with the device camera. Without camera access the text field keeps working. The list shows everyone who replied Going or Maybe plus anyone already checked in, and Updates every 5 seconds, so several people can check in guests at once.

Tip

Open the check-in page on a laptop or tablet at the entrance. Two devices work side by side because the list refreshes on its own.

How do you collect feedback?

After an event has taken place, members can rate it from 1 to 5 stars and leave a comment of up to 2,000 characters, also anonymously. In a recurring series, feedback opens after the first date. Each member gives one rating per event and can update it later.

Feedback on the Events header collects all ratings across events. You can reply, mark feedback as handled and show handled feedback again with Show handled feedback. The star distribution in the Ratings box doubles as a filter: click one or more star ratings to show only that feedback. Replying and changing the status need Update Events; deleting feedback needs Delete Events.

Registering people from other tools

Registrations do not have to start on the event page:

  • In Zapier, the actions Register Member for Event, Cancel Event Registration and Check in Member at Event handle attendees from a Zap.
  • In ManyChat, the step Register for event registers a contact from a flow.
  • The API registers members, cancels registrations and checks people in with an API key that has the Manage permission for Events. Reading events needs View.
