The member profile

Everything you know about one person, and everything you can do to their account, on one page.

Open anyone in your member list and you land on their profile. It is the single place where everything about one person comes together, and it is split into sections down the left.

Information

Name, email, language, address, avatar. The basics, and the place to correct a typo in someone's name or fix an email address that arrived wrong.

The email address is their login, so changing it changes how they sign in. Tell them when you do.

Tags and fields

Tags are your own labels. Fields holds everything your platform collects beyond the basics, both the fields you defined yourself and any data that came in through an import or a form.

Activity and history

Activity is what they have been doing: lessons, posts, logins, the trail of someone actually using your platform.

History is what has been done to their account, by you or by the system. When access was granted, what changed, when they were activated. This is the section that answers "who gave them this course?" and "when did that stop working?".

Security

Their sign-in side. Four tiles show two-factor status, whether their email is verified, how many sessions are open and when they last signed in. Sign out everywhere ends every open session at once, and the tabs underneath hold the detail: sign-ins, devices and security events.

Export data (GDPR) at the top of this section packs everything stored about this member into a ZIP file. That is what you send when someone asks for a copy of their data.

Resetting a password is not here. It is one of the buttons at the top of the profile. If someone is locked out, set a new password there and tell them what it is.

Notifications

Which messages this person receives. Useful when someone says they get too much email, or nothing at all.

Files

Documents attached to this member. What they uploaded, and what you uploaded for them.

Payments and billing

Present when payments are switched on. Payments lists their orders and subscriptions, billing holds their invoice details.

This is where you look before answering "did they actually pay?" and where you follow a subscription that ended earlier than someone expected.

Access

Below the personal sections comes everything this person can reach: groups, community forums and badges, courses, hubs, calendars and events.

Each entry shows where the access came from, which matters more than it sounds. Access granted through a group cannot be removed here; it goes when they leave the group.

Member access and resources

Acting on the account

A row of buttons sits at the top of the profile.

  • Sign in as user to see exactly what they see. The row menu in the member list calls the same action Login as member.
  • Message to start a chat or send an email. Without the community it reads Send email.
  • Reset password to set a new password for this person yourself. It opens a form with the new password, it does not send a link.
  • Open profile for their community profile, when the community is on.

Below the section list, an Active and Inactive switch opens and closes the account, and Delete sits under it.

Banning is not on the profile. Ban Member lives in the row menu of the member list, next to Deactivate Member and Delete Member. A ban takes a reason and can let the person appeal.

Warning

Deactivating and banning are reversible and keep everything. Deleting is not. When someone asks to be removed entirely, handle it through the data requests page so the record of the request is kept.
