Working with the member list

Views, the online filter, segments, bulk actions, duplicates and the plan limit: everything the member list does beyond showing names.

In this article

The member list is where most audience work starts. It finds people, acts on many of them at once and keeps the list clean.

Four ways to look at it

The view switch above the list offers Grid, List, Table and Map. Your choice is remembered for next time.

Map places each member where they last signed in from, so it only shows people whose sign-in carried a location.

The columns of the table, the search and the filters work the same way as in every other list.

Working with lists: filters and columns

Who is online now

Next to the filters sits a counter that reads, for example, 3 online. Click it to show only the members who are online right now, and click it again to see everyone.

Segments

A segment is a set of filter rules you save under a name, such as "Active subscribers" or "Never logged in". Open More actions above the list and choose Segments.

Each segment combines conditions: subscription status, tag, course access, last login, member since, country, email verified and your own member fields. Choose Match ALL conditions or Match ANY condition, and the segment shows how many members match before you save it.

Once saved, a segment is also a filter on the list. Pick Segment in the filters and the list shows exactly the people the segment counts.

Acting on many people at once

Tick rows in the list and a bar appears at the bottom. It holds:

  • Add Tag and Remove Tag.
  • Add Access and Remove Access, for courses, hubs, community forums and badges, calendars and events, and groups.
  • Set Custom Field and Clear Custom Field.
  • Activate and Deactivate.
  • Export CSV for exactly the ticked rows.
  • Delete.

When the bar runs out of room, the actions that do not fit move under More.

Your own account is always left out of activating, deactivating and deleting, so a bulk action can never lock you out.

Warning

Bulk delete erases accounts permanently. Type delete into the field first, otherwise the button stays disabled.

Deleting in bulk works the same way as deleting one member. Each account is anonymised, orders and invoices are kept, and every erasure appears in Data Requests as one entry. Administrators are skipped. The message afterwards tells you how many were deleted and how many were skipped because they are administrators or could not be erased.

Data requests, export and deletion

Finding duplicates

The same person sometimes ends up with two accounts: once through a purchase, once through an import with a different spelling. Open More actions and choose Find duplicates.

The list groups accounts that share an email address or a full name. Email addresses are compared without regard to upper and lower case, and anything after a plus sign is ignored, so anna+shop@example.com matches anna@example.com. Each account shows its orders and tags, which makes the choice easier.

Pick the account to keep with Keep, then Merge into selected. The button asks for a second click to confirm.

Merging moves everything from the other account onto the one you keep: access, groups, tags, custom fields, course progress, orders and invoices, posts and comments, activity, sign-ins and a partner account if there is one. Empty profile details on the kept account, such as country, city or language, are filled from the other one. The merged account is then removed. There is no undo.

The member limit of your plan

Your plan allows a certain number of people in your platform, and the limit counts every account on your member list:

  • active members,
  • deactivated and banned members, because their accounts still exist,
  • your team, meaning everyone with a role other than member.

Deactivating someone therefore does not free a place. Only deleting the account does. Contacts never count.

When the limit is reached, adding by hand and converting a contact are refused, and an import skips the rows that would go over it.
