When you sell physical products, the buyer enters a delivery address at checkout and you send the parcel yourself. The order keeps track of where it stands, and it gives you the papers to put in the parcel.
Which orders need shipping
The checkout asks for a delivery address as soon as the cart holds a physical product, and it charges the shipping rate of your zones. Open the order under Payments > Sales > Orders to see the address and the Shipping amount in the totals. How the rates are set up is described in Shipping options.
Order status
Use the Status field of the order to follow the parcel:
- Paid: the payment is in, nothing has happened yet.
- Processing: you are packing the order.
- Shipped: the parcel is on its way.
- Delivered: the parcel has arrived.
Save the order after each change. All four statuses keep the buyer's access and keep the stock booked. A processing, shipped or delivered order can go back to Paid if you set it too early.

Changing the status sends no email to the buyer. If you want to share a tracking number, send it yourself.
Changing the delivery address
In the order, the Address box has two views, Billing and Shipping. Switch to Shipping to correct the delivery address, or use Copy from billing to take over the billing address. Save the order.
Buyers can correct the address themselves on their billing page with Address, as long as the order is pending, paid or processing. Once it is shipped, they are asked to contact you instead.
The delivery note
Click Delivery note (PDF) in the order. The delivery note lists the items
with their quantity, without prices, plus the delivery address and the order
number. Its number is the prefix and the order number without ORD-, for example
DN-AB12CD34.
Put it in the parcel so the recipient can check the contents. It is never sent
to the buyer.
Title, number prefix, note and footer are set under Payments > Settings > Documents > Delivery note. Logo, colors and layout come from the shared Design of all documents.
Shipping outside the EU
For a delivery address outside the EU, the order also offers Commercial invoice (PDF). Customs uses it to see the value of the goods. It lists each item at the price paid. Attach it to the parcel. It is never sent to the buyer either.
The details for it are set once under Documents > Commercial invoice, in the Customs & export box:
- EORI number: your exporter reference.
- Incoterms: who pays transport and duties, from EXW to DDP. The default is DAP.
- Reason for export: Sale, Gift, Commercial sample, Return, Repair or warranty, Personal use or Documents.
- Declaration: the statement printed above the signature line.

The HS code, the country of origin and the net weight of each product come from the Customs box of the product. Switch on Add customs information there to fill them in.
