Payments overview

Switch on Payments, follow the setup checklist to your first sale and find your way to sales, catalog and payment settings.

In this article

Payments is where you sell products and subscriptions and keep track of the money that comes in. Before your first sale the overview walks you through the setup. After that it shows how your sales are doing and what needs attention.

Switching Payments on

If Payments is off in your workspace, open Settings > Features and switch on Payments. The Payments entry then appears in your admin navigation. While the feature is off, every payments page sends you back to the dashboard. Seeing Settings at all needs Update Platform Settings, and switching a feature needs Manage Components.

Who can work with payments

Every page under Payments requires View Payments. With that alone, a team member can look but not change anything. Changes need one of three further permissions:

  • Manage Catalog (Products, Prices, Coupons) to create, edit, publish and delete anything in the catalog.
  • Update Orders / Customers to change orders, subscriptions, customers and dunning cases, and to save most payment settings. Shipping zones and rates count as catalog and need Manage Catalog (Products, Prices, Coupons).
  • Issue Refunds to refund a payment.

Of the built-in roles, only Owner and Admin have all four, and built-in roles cannot be edited. For a different mix, the Owner creates a custom role under Settings > Team & Roles. That needs a paid plan and can only grant permissions the owner holds. Connecting Stripe also needs Update Platform Settings and Manage Integrations.

Get paid in a few steps

Until your first real sale, the overview opens with the checklist Get paid in a few steps. Each step has a button. The first three take you to the right page, the last one copies your checkout link.

  1. Add your business details: address, country and currency under Payments > Settings > Business information. They appear on your invoices.
  2. Connect Stripe: done once a Stripe connection can accept payments and pay out with nothing left to complete, or once PayPal is connected. A test connection counts too, so the step can be ticked before you can take real money. The button here always starts the live connection. For a test connection use Start in test mode in the Stripe box below, which is offered as long as nothing is connected yet.
  3. Create your first offer: a published product with at least one active price.
  4. Share your checkout link: locked until you have an offer.

When the first three steps are done, the box turns into You are ready to sell, with the checkout link of your newest published product. Run a test purchase opens that checkout in test mode, where you pay with a Stripe test card. After your first real sale the box disappears. If a sale comes in while a step is still open, the checklist stays as Complete your payment setup.

The Stripe box

Below the checklist, the Stripe box shows whether Stripe is Connected or Not connected. Without any connection it offers Connect with Stripe and Start in test mode. As soon as one connection exists, the box shows one row for live and one for test. A connected row is marked Ready to receive money or Finish your Stripe setup, the other row offers Connect with Stripe.

Products and orders also work without Stripe. If you bill manually, hide the box with Hide this box; Show Stripe brings it back. Hiding it needs Update Orders / Customers.

With Stripe connected, the Stripe balance panel shows what is Available to pay out, what is On the way and your Recent payouts. Refresh loads the latest figures from Stripe.

Below the Stripe box sits the PayPal box, with one row for the live account and one for the Sandbox. See Connecting PayPal.

Tip

Start in test mode. A complete purchase with a test card moves no real money.

Needs attention

The Needs attention panel appears only when something is waiting for you: Open disputes, Failed payments and Recent refunds from the last 7 days, and Overdue payments in dunning. Open disputes are listed as long as they need a response. Each row opens the matching list under Sales.

The figures

The date range at the top covers the last 30 days by default. The figures include Revenue, Sales, Active members and Recurring revenue / month, followed by Revenue over time compared with the previous period. Below the chart come the Stripe balance and a second row with New customers, Avg order value, New subs, Monthly churn, the refunds of the range such as Refunded (30 days), Avg. customer lifetime, Lifetime volume and Canceled. Top products, MRR movement and Customer revenue over time follow after that. Active members counts subscriptions that are active or in a trial. Monthly churn always looks at the last 30 days, whatever range you pick.

Revenue counts paid orders and orders that are being processed, shipped or delivered. Gross volume includes payments that were refunded later, the refunds show separately. Test purchases and test subscriptions are left out of every figure, including Monthly churn and MRR movement. Latest Orders lists your five most recent payments. Most figures open the list behind them when you click them.

All amounts are in the Default currency from Payments > Settings > Business information. Sales in other currencies are not converted and stay out of the totals, and so does Customer revenue over time. Subscription counts such as Active members and Canceled include every currency.

Note

The figures are recalculated at most every 90 seconds. When a live sale arrives while the overview is open, they refresh within a few seconds.

Where everything else lives

  • Sales holds Orders, Subscriptions, Customers, Refunds and Dunning notices.
  • Catalog holds Products, Bundles, Coupons, Gift cards and Checkout links.
  • Settings is grouped into Billing, Selling and checkout and Developers, from business information and taxes to checkout, payment methods, shipping and webhooks.

What to do next

Work through the checklist from top to bottom: business details, Stripe in test mode, then your first product. Buy it once with a test card, and connect the live account when everything works. Only then can real money reach you, even if the checklist already says you are ready.
