Notification settings

Choose which system emails your platform sends, edit their text per language, pick a design and decide which address they come from.

In this article

Your platform sends emails on its own: a welcome email with access details, a password reset link, notes about course access, order confirmations and alerts to you and your team. Under Settings > Notifications you decide which of these emails go out, what they say in each language, how they look and which address they come from.

Open Notifications

The page has four tabs: Templates, Email Design, Emails sent and Email settings. The design, sender and footer settings on these tabs apply to the member and admin templates. Payment emails, including New Order Received, and affiliate emails go out in a fixed look.

Finding an email

Templates splits the emails into Member, Payments, Affiliate and Admin. The first three go to your members, customers and partners. Admin templates go to you and your team about activity on the platform. Member and admin templates are grouped by area, such as Account & Access or Courses, and the search field filters by name and description.

Turning an email off

Every row has a switch. When you turn an email off, you confirm it in Turn off this notification? From then on, the email is not sent to anyone on your platform until you turn it back on. The row shows Off in the meantime.

Three emails cannot be turned off: Welcome Email, Reset Password and the trial invitation. Their switch is locked and explains: "This notification is required and cannot be turned off."

Opening any settings page needs the permission Update Platform, listed under Settings in the role editor. Switching an email on or off additionally needs Manage Notification from the same group. Owners and admins have both. Every switch is recorded in the audit log.

Editing the text

Edit opens the template with an Editor and a Preview tab and a language picker. Each language has its own Title, Content and Button label. Variables such as Platform Name, Recipient - First Name or CTA-Button are inserted from the field and replaced with real values when the email is sent. Some templates offer more, for example Course Name. Save stores the title and content of all languages at once.

An edited template shows Overwritten in the list. To go back, open it, pick Reset to default, confirm "Are you sure you want to reset this template?" and save. The original text is restored for every language.

Note

A member receives a member template in their own language. If there is no text in that language, the platform's default language is used, then English. See Languages and localization.

Choosing the look

Email Design offers four designs: Classic, Color Header, Minimal and Elegant. Classic is used until you pick another one. Your logo and brand color are applied automatically, and the Live preview shows the result before you save. The logo comes from Inbox branding on the Email settings tab and falls back to your app logo when it is empty.

Who the emails come from

On Email settings, the Sender decides how emails leave the platform.

  • MemberArea (recommended) sends through the shared infrastructure. There is nothing to configure, and emails come from a MemberArea address.
  • Your own SMTP server sends through your mail server. Host, Port, Username, Password, From address and From name are then required. A saved password stays stored when you leave the field empty.

Under Replies and compliance, the Reply-to address and Reply-to name apply to both senders. Leave the address empty and replies go to the From address. The Postal address appears in the email footer.

Tip

Send test email sends a sample to the address under Send to. It uses your saved settings, so save first, then test. If sending fails, the dialog shows the error message.

Sending from your own domain

With the MemberArea sender, Your own email domain lets your emails come from an address like noreply@yourbrand.com. Enter a Sending domain and a Region. A dedicated subdomain such as mail.yourdomain.com keeps your sending reputation separate. Under Advanced options you can change the Mailbox (local part), which is noreply by default, and the From name, which starts with your platform name.

After Connect domain, the box lists the DNS records to add at your domain provider. Copy all records copies them in one go. Then pick Check now. The status changes to Verified once the records are confirmed; Failed means the records do not match yet. Only a verified domain is used as sender. An Optional: DMARC record is suggested as well but is not required for verification.

Most emails to you and your team keep coming from a MemberArea address.

Disconnect removes the domain. Your emails then go out from the default MemberArea sender again.

Checking what was sent

Emails sent lists the member and admin emails your platform sent, without payment and affiliate emails, with Recipient, Subject and Date. It starts with the last 30 days, and the date filter widens the range. Open shows the email as it was sent, and Load more fetches older entries. Emails that were turned off are never sent and therefore do not appear here.
