The affiliate portal

What your partners see in the member area: commissions, balance and payouts, their team, their referral link, their payout details and the partner elements.

In this article

Your partners follow their earnings inside your member area, with the same login they already use. They see what they earned, what is ready for payout, who they brought in and where their link is. You decide where these pages appear by adding them to your member navigation.

Open Navigation

When the portal is available

The partner pages only work while your affiliate program is running, which needs the Business plan and the Affiliate program switch turned on. If the program is not running, a member who opens one of these pages lands on the dashboard instead. The partner elements on hubs and on the dashboard then show their empty state instead of figures, and partners cannot save payout details, connect Stripe or change how they receive their rewards.

Adding the pages to your navigation

Under Settings > Navigation, the library has a group called Affiliate with three pages: Commissions, Payouts and Team. Add them to your member navigation like any other item. The group only appears while the program is running.

The items only show up in the menu of members who are partners, and for you as an admin. A member who is not a partner and opens one of the pages directly sees a short note that their numbers show up once they join as a partner.

Commissions

The Commissions page shows four totals:

  • Pending: not approved yet.
  • Cleared: ready for payout. A commission stays here until the payout that contains it is marked as paid.
  • Paid out: the payout with this commission was marked as paid.
  • Reversed: refunded or cancelled.

Amounts are shown in your program currency and never added up across currencies. Commissions in other currencies are listed below the totals under Other currencies.

Below, the Commission ledger lists every sale attributed to the partner, newest first. Partners can filter it by status and, if you pay on several levels, by level. Test commissions never appear here.

What partners see about the buyer depends on Customer names for partners in your affiliate settings. With No name they see no buyer name. With Full name they see the full name on their direct sales, and on deeper levels the name is abbreviated. Abbreviated shortens every name. Buyers who are partners themselves are always named, in full on direct sales.

Payouts

The Payouts page starts with three totals: Available (cleared commissions and pool shares, counted the same way as a payout run), Pending (still in the freeze period) and Paid out (everything transferred so far).

Amounts are shown in your program currency. Balances in other currencies are listed below the totals under Also available in other currencies. The minimum payout applies to each currency on its own.

The box Your balance shows how far the partner is from your minimum payout. Request payout is available as soon as the cleared balance in one currency reaches the Minimum payout amount. Without a minimum, any cleared balance above zero can be requested. You see the request on the payouts page in your admin area. It clears as soon as a payout run creates a payout for the partner. A request does not create a payout by itself: you create payouts in a payout run, see Affiliate payouts.

If you switched on Reward as account credit, partners also get the box How you want to be rewarded. They choose Cash payout or Credit on my invoices. Credit is only used once the partner has an invoice to settle, and the page warns them if they have no running subscription.

Payout history lists every payout with a link to Download payout statement (PDF).

Team

The Team page, titled My team, shows everyone the partner brought into the program. Four totals sum up team size, direct partners, the number of levels and the revenue attributed to the team. Partners switch between a tree and a list grouped by level and can search by name or code.

Payout details in the profile

Partners enter where their money goes in their own profile. In My Profile, the Payouts tab holds the box Payout Settings. It has two parts:

  • Tax identity: legal name, address, tax status and VAT ID.
  • Payout method: the Provider and the matching details, such as the IBAN for a bank transfer or an email address for PayPal.

Only the payout methods you offer in your affiliate settings can be chosen. Partners save with Save profile. The Payouts tab only appears while the program is running and Payments is on under Settings > Features.

Important

Without an IBAN on file, no SEPA file can be created for that partner's payout. Ask partners to fill in their payout details before your first payout run.

Elements for hubs and the dashboard

You can also place partner content on a hub or on the dashboard with elements. In the element picker they sit in the category Affiliate, which appears while Payments is on. Most of them can only be added to hubs and the dashboard.

Copy Referral Link shows the partner's personal link with a copy button. By default it points to your registration page with the partner's code. With Custom URL you can point it to any address, and in that address is replaced by the code. Under Share buttons you pick the channels partners can share to, including a QR code they can download. Position places the button On the right or Below the link.

Members who are not partners yet see a field for a personal code instead. They pick a code of 3 to 50 letters, numbers, hyphens or underscores and click Activate to become a partner right away. This only works while the program is running. While it is off, or the workspace is not on the Business plan, the element shows no code field and no Activate button, only the message "The partner program is not active." See How partners join your program.

Campaign Links gives partners a separate link per channel with clicks and conversions. When a channel leads to a page other than the start page, a quiet line under the link names the page the partner's link was created with, for example Opens /pricing. See Affiliate links and tracking.

The other elements:

Element What partners see Settings
Affiliate Stats Pending, cleared and paid out commissions, conversions, direct downline and the date they joined Style (Card, Tinted, Plain), Show icons
Referral Performance Conversions and commissions for This month and All time none
Referred Contacts The people they referred directly Show (All, Customers, Partners, Without purchase), Number of contacts, Show key figures
Team Tree Their downline with rank and sales per partner Display (Cards, Table, Org chart), Levels, Columns, Key figures, Search
Team Points The sales of their downline per level, in your program currency Levels
Current Rank Their current rank as a badge Emblem (Medal, Crown, Gem, Trophy, Star, Award)
Promotion Progress How far they are from the next rank, condition by condition none
Qualification Ranks All ranks, each marked Achieved, current or Locked none
Commission Statements A list of their commissions with period, status, level and amount, with totals in your program currency like the Commissions page (if none of their commissions is in your program currency, in the currency with the highest total of pending, locked and paid commissions) Show available credit
Credit Their available credit and a link to their payouts Show payouts link
Payout History Their recent payouts with the total paid Number of Payouts

Two more elements show the balance with the Request payout button, and the payout details form from the profile. Promotion Progress compares the same figures the rank calculation uses: own sales, the sales of the downline without their own, and active direct partners. Current Rank shows the lifetime rank, the same rank as the team tree, and like Promotion Progress and Qualification Ranks it shows the rank only, no commission rate.

Systems outside your platform can read and redeem a partner's cleared balance through the API. This needs an API key with Redeem in the Affiliates group, see API keys and developer access. A redeemed amount is no longer paid out.
