Setting up affiliate ranks

Create affiliate ranks, set the revenue partners must reach and learn when ranks are recalculated and how promotions work.

In this article

Ranks give your partners a status they can work towards. A partner reaches a rank when their own sales, their team's sales and the number of active partners they recruited meet the conditions you set. Ranks are also the entry ticket for commission pools.

Open Affiliates

Before you start

Ranks are part of the Business plan and only work in advanced mode. Switch Program mode to Advanced on the Settings tab first. In simple mode you cannot create a rank, and existing ranks are not recalculated. To create, edit or delete ranks you need the Manage Program (Levels, Ranks, Pools) permission.

Open Affiliates in the admin menu, then Settings > Ranks. The list shows each rank with its Priority and its Requirements.

Creating a rank

Click Add. The form New Rank has two sections.

The New Rank form with the General and Qualification sections.
The New Rank form with the General and Qualification sections.

General

  • Name is shown to partners in their portal.
  • Badge color colors the rank badge partners see.
  • Priority decides which rank wins when a partner qualifies for several. Ranks are checked from the highest priority down, and the first one whose conditions are all met is the partner's rank. Give every rank its own priority, with your top rank highest.

Qualification

All four conditions must be met. Leave a condition at 0 to ignore it.

  • Minimum personal revenue counts the sales the partner referred themselves.
  • Minimum team revenue counts the sales of all partners below them in the team tree, on every level. The partner's own sales never count here.
  • Minimum total revenue is both combined.
  • Minimum active partners counts the partners they recruited directly who referred at least one sale themselves in the same period.

Enter revenue in whole units of your program currency, without cents. A threshold of 1,000.00 is entered as 1000. The program currency is the currency you pick next to Minimum payout amount in the settings. Only sales in that currency count toward a rank. Sales in other currencies count for no rank. In a currency without cents, such as JPY, the amount you enter is the amount itself (10000 means 10,000 JPY), and the team tree, the partner area and Promotion Progress show such amounts without decimals.

The engine counts the order amount of each referred sale, including tax and shipping, minus anything refunded. Test orders are never counted, and neither are a partner's own purchases, even through their own link.

Ranks do not change what a sale pays. Commissions come from your commission levels and product rates, see How commissions are calculated.

Tip

Start with two or three ranks. A partner who sees the next rank within reach is more motivated than one facing a long ladder.

Deleting a rank

You cannot delete a rank that a pool, a product or a partner still uses. The dialog Delete rank? says so. Change the pool, the product or the partner first, then delete the rank.

How partners are ranked

Ranks are calculated for three kinds of periods:

  • Lifetime counts every sale since the start. This is the rank partners see in their portal.
  • Monthly counts one calendar month.
  • Yearly counts one calendar year.

Monthly and yearly ranks matter for pools, which pay partners according to their rank in that period. A partner keeps a separate rank for each period, so someone can hold your top rank for lifetime and a lower one for last month.

Ranks go down as well as up. If refunds push a partner below a condition, the next calculation gives them the highest rank they still qualify for, or no rank at all.

When ranks are recalculated

Recalculation cadence in the settings decides the timing. It appears in advanced mode.

  • Nightly recalculates lifetime ranks every night. On the first day of each month the previous month is ranked, and on January 1 the previous year.
  • Scheduled (monthly) recalculates once a month on the Recalculation day you pick. On that day lifetime ranks and the previous month are updated. In shorter months it runs on the last day of the month.

Commissions themselves are always created the moment an order is paid. The cadence only affects ranks and pools.

To recalculate immediately, click the round arrows button in the rank list toolbar; its tooltip reads Recompute ranks. Choose a Period type (Lifetime, Monthly or Yearly). For Monthly and Yearly, enter a Period such as 2026-05 for a month or 2026 for a year; left empty, the current month or year is used. Then click Run now. You can run it any time, for example after changing a rank's conditions.

Promotions

When a partner's lifetime rank moves to a rank with a higher priority, they get an email about their new rank. Monthly and yearly ranks send no email. A rank you set by hand or through a product sends no email either.

You can also hand out a rank with a product. On the product's Affiliate tab, under Rewards, pick a rank in Rank override. The partner who brings a sale of that product gets this rank from the next calculation on and keeps it in every period, whatever their sales. They do not move up to a higher rank. A partner who buys the product themselves gets no rank from it. Leave it on No override to rank partners by their conditions only.

Note

A rank given through a product stays with the partner until you remove it. Open Affiliates, choose Edit on the partner and, in Edit partner, click Remove rank in the box that names the rank from the product. From the next calculation the rank follows the revenue again. Use product ranks for deliberate rewards such as a leadership package, not for regular products.

Setting a rank by hand

In advanced mode you can also pin a rank in the Team tree: click Override Rank, open the Pinned rank tab, pick the rank and click Save. A pinned rank wins the next calculation in every period, even over a rank from a product. To hand the partner back to the calculation, choose Override disabled on the same tab and save. The Manual classification tab only labels the partner and does not change the calculated rank. See Managing your partners.

Next, set up commission pools to share part of your revenue among your best ranked partners.
